Job Summary:
Handling of room reservations department at the hotel. This position often works with the revenue and rooms division managers.
Duties & Responsibilities:

  • Make Reservations/ amend reservations on the designated reservation network
  • Update inventory on both connected and independent OTAs as per demand-based inventory management
  • Attend all reservations related calls, liaise with front office on house position, update and track VIP movements, update payment instructions and profile notes
  • Compliance of rate codes and market segments
  • Track and maintain data related to sold out dates, back out dates and high demand period
  • Ensure cut off for inventory allocation for Travel Agents, Weddings and ownership is maintained
  • Document and maintain data on all incoming queries and refusals
  • Generate and circulate Daily reports for the Reservations and Sales meeting every day.
  • Maintain weekly and monthly reports
  • Maintain OTA performance report
  • Maintain Travel Agent allocation and production report
  • All reservation queries to be responded to within 3 hours. All customer communication to be responded to and closed on the same day.
  • Be compliant to both Brand and NILE segment and reservations standards
  • SOPs are to be followed for upgrades, ADHoC rates and value add-ons.
  • All prepayment and pending payment records to be updated
  • Cancellations and retention records to be maintained.
  • Review booked reservations and arrival reports daily.
  • Ensure adequate handling of repetitive guests and VIP guests.
  • Coordinate group/event requests in cooperation with the event Manager.
  • Review no-show and cancelled reservations and report accordingly
  • To use the up-selling techniques in order to maximize the Rooms Revenue.
  • Manage all guest issues and ensure response to all queries and monitor flow of dining rooms and recommend ways to increase revenue.

Job Knowledge, Skills & Abilities:
  • Proficient knowledge of Microsoft Office-MS Word, Excel
  • Very good communication skills. Additional languages will be considered a plus.
  • Flexible to the requests of the job (in terms of workload & work schedule) and capable to quickly adapt to change
